SmartCare: Data Simplification for Apps

The Challenge

SmartCare is a company that had developed an app to help daycare centers manage business operations such as children’s attendance, billing, employee information, medical records, etc. Having developed their app internally, they were pleased to see that the ease of use was a hit, and the information it provided was decidedly beneficial.

The next step was to promote their app nationwide, at all daycare centers. The company wanted to send mail to all daycare centers advertising their app’s benefits so the centers’ management would see the value and start using the app. Realizing that the daycare mailing information was constantly changing, an employee was assigned to do the updates. However, with the heavy daily workload, it was an additional, time-consuming, manual task, and the spreadsheet didn’t get updated often enough. They knew the concept was scalable and could serve a greater community, but the challenge was keeping the daycare center data current and getting results from these sales and marketing efforts.

The Strategy

Their goal of selling the app to daycare centers across the nation seemed lofty given the issues of maintaining accurate and up-to-date information. Using an Excel spreadsheet of 60,000 daycare centers, the job was to keep the contact information current and delete old daycare centers. How could they get this done efficiently?

Code Pros was called in to automate the process. They listened to the goals and the issues that were holding them back. Understanding the need for accurate data, where to find the data and how to keep it current, Code Pros developed a plan to optimize technology to ensure the desired results and efficiencies.

The Solution

Code Pros created a system to collect contact information for daycare centers in 26 states. The system browsed public record websites and collected data. The data was then stored in a data warehouse—and, all this was done much faster than could have been possible while struggling to do it manually.

The Outcome

The people at SmartCare were amazed to see that they could now grab 80,000 records from the internet in only four hours. And, that occurred without an employee’s involvement. The employee could now work on other critical projects while the data was automatically collected and stored. SmartCare now has up-to-date information every day!
